Post Website Checklist

When They Happen

POST web cycles are scheduled within a couple days of an event taking place, often during or even before the event. They usually take a couple days with QA included. We won't set live until after the event concludes.

Keep an eye out for the monthly scheduling email, and check the Calendar Links to confirm:

You can always send a POST cycle ticket any time before the scheduled date - especially if you plan to be on-site and thus unavailable.

 

Required Materials for a POST Web Cycle Ticket

Plan to have all the materials below prepared before the scheduled calendar date. 

  • Verify the Event Plan and Promotion Plan have been set up in Oracle ahead of time. Confirm the new Oracle iteration number (12345.xxx) in your ticket.
  • We need tentative dates for the next year, even if uncertain.
  • Confirm what we should list for the venue, if anything
  • Unique Oracle List codes for any ACDs being carried forward to the new campaign
    • You can visit the Resource Center in EcoAdmin to get a full accounting of which items to consider. At minimum, review all items underneath "Additional Content Download".
    • The Agenda/PDF and Attendee List do NOT need a new list code.
  • Please send us a backup contact (like your manager) that we can include in case you are onsite at the event, or otherwise out of contact. We aim to turn POST cycles around within a couple days.
  • Any page updates you'd like to make, which usually consists of updating year-specific copy and headings. See below for updates that we will apply by default.

Note on Design Updates - we make minimal design updates at the POST phase, and we prefer to limit image-heavy content updates where possible. We should be able to make all content updates within an hour or two of work.

If you have big plans for an event post-campaign, please communicate this ahead of time, so we can allot the proper amount of time.

 

Default Updates Done Automatically by Web Team

We'll do this stuff regardless - you don't need to ask! 

  • Speakers, Sponsors, and Media Partners will be archived to a year-specific listing page. Template copy will be added to the current listing pages to promote recruitment for the next campaign, and link to the previous year roster. These pages will stay active in the site navigation.
  • Registration and Agenda Day page content is all cleared out automatically.
  • Registration, Venue, and Agenda Day pages will be removed from the navigation. If you have new early pricing information, we can set up SRS for the next year.
  • Sponsors will also be removed from the bottom rotating strip on all pages.

Oh No! I missed my POST cycle. What do I do?

The web team will proceed with flipping the event site over to a new campaign, including all the steps above, even if you don't send us a ticket. The show must go on, and all that.

If you miss the deadline by more than two days, here are the steps the web team will take:

  • We will generally send a ticket on your behalf for our record keeping, which will also notify you (via email) of all our updates, as follows
  • We’ll take our best guess on event dates based on the current year, and leave venue blank. 
  • All further content updates or edits will need to be sent as normal ‘EDIT’ type tickets after our usual POST cycle updates are completed. Usually by end of week.
